Your move from your previous platform
Follow your organization's move: which shows are still kept in step, what to review, your approval and your move date.
While your organization moves to Map D from your previous platform, the Your move page shows where the move stands, which shows are still kept in step with your previous platform and which have moved, what to review, and who to talk to.
Open Your move
Select Your move in the sidebar. You can also select See your move on the banner of any show that is still kept in step with your previous platform.
Owners, Show managers and Associates see the page while your organization is moving. Exhibitors and speakers in your organization don't.
Where your move stands
The badge next to the title says where your move is:
- Getting ready: a copy of your shows is being prepared.
- Ready for your review and You're reviewing: your copy is here to check, while you keep working on your previous platform.
- Approved: you've approved your copy, and your contact agrees the move date with you.
- Move scheduled: the date is set. Keep working on your previous platform until then.
- Moved: your shows have moved. Work on them here from now on.
Below it, Move date shows the agreed date and time (and the date you asked for, if you did), Approval shows who approved your copy and when, and Your contact names your account manager, with their email address.
Confirm your team
Before you approve your copy, an Owner confirms who from your previous platform should have access here. Confirm your team lists everyone whose access came over, with when they last signed in there:
- Has access: they can already sign in. Untick them to remove them; you can restore them later on the Members page.
- Waiting for your confirmation: they hadn't signed in there for over a year, so they don't have access yet. Tick them to give it.
Owners are set by your account manager, so an Owner who has access can't be removed here. Select Confirm team when the list is right. You can change it and confirm again until your move. To change someone's role, use the Members page.
Your shows
Every show copied from your previous platform is listed with its dates and where it stands:
- Kept in step with your previous platform: the show still updates from your previous platform and can't be changed here. Make your changes there.
- Moved: you work on it here: a current or upcoming show that has moved. It's yours to edit.
- Moved: kept as a record: a past show that has moved. It is read-only, and its payments, reports and emails still work. See Read-only shows.
Old links bring visitors here means links to the show on your previous platform now open it here. Older show marks a show kept as a record from earlier years.
Select a show's name to open it.
What to review, and approving your copy
While your copy is ready for review, What to review lists what to check on each show against your previous platform:
- Floor plans and booths
- Exhibitors
- Orders, payments and open balances
- Homebase and public pages
An Owner ticks each one once it's checked, then selects Approve your copy and confirms. Approval then shows who approved and when, and your contact agrees a move date with you. Show managers and Associates see the list without the boxes.
Ask for a move date
Under Your move date, an Owner picks the Date you'd like, adds a note if it helps, and selects Ask for this date. Your contact confirms it with you and sets it, and Move date then shows it. To change your request, ask again.
Emails after your move
Under Emails after your move, an Owner ticks the emails to send once your shows move, then selects Save my choice:
- Your team: a link to set a password, for team members who haven't signed in here yet.
- We've moved announcement: a note to every exhibitor of your current and upcoming shows saying the show has moved, that their profile, booth and orders came with them, and where to sign in. It carries an unsubscribe link, like your other emails to exhibitors.
- Exhibitors: a link to their exhibitor portal, for exhibitors who had access before.
- Speakers and Attendees: a sign-in link, for speakers who had access before and confirmed attendees of your current and upcoming shows.
- New payment links: a link to pay, for exhibitors with a balance due on your current and upcoming shows.
Your contact sends them for you once your shows have moved, and each person gets each email once. You can change your choice until they're sent.
On your move date
Your shows move together. Current and upcoming shows become editable, with their floor plans published and sales open where they were open before. Past shows become read-only records. Your exhibitors, speakers and attendees sign in with the email address they used before: they select Forgot password? on the sign-in page, or use the link in an invite. Nobody was given a password.
Your contact then sends the emails you chose under Emails after your move.
What moved
Once shows have moved, What moved lists each moved show with what came over: Exhibitors, Booth orders, Ticket orders, Sessions and Speakers, counted after the show's last copy from your previous platform.
Your new links
Once shows have moved, Your new links lists each moved show's new addresses: Homebase, Floor plan, Booth registration and Tickets, each with Copy, plus a Floor plan embed code for your website. Old links to the show already bring visitors here, but update your website, emails and embeds when you can.
Shows that moved start with the Balance reminder off, so no reminder reaches your exhibitors until you choose. Turn it on for each show when you're ready. See Set up payments.
