Read-only shows
Keep a finished show as a record that nobody can change, and what still works while it is read-only.
A read-only show is kept as a record. Everyone with access can still open it, but nobody can change it, so last year's floor plan, exhibitors, schedule and orders stay exactly as they were.
Make a show read-only
Open the show
Go to the show's dashboard.Select Make read-only
Make read-only is at the top right, next to Edit. Only an organization Owner sees it.
Confirm
Select Confirm. The show now carries a Read-only badge, and a banner at the top of every show page says it is read-only.
What still works
A show's money is often not finished when the show is, so these keep working on a read-only show:
- Recording payments and refunds, marking an order paid, and sending invoices and payment requests.
- Exhibitors paying an open balance from their payment link.
- Sending emails, and running and exporting reports.
- Inviting exhibitors, speakers and attendees to their portals, so they can see their orders.
- Publishing or unpublishing the Homebase.
- Cloning the show to set up next year.
What is locked
Everything else refuses changes, including the floor plan (the map editor opens view-only: use Drag to move around the map and Select to see a booth's details), exhibitors, speakers, the schedule, sponsors, ticket types and show settings. The buttons for those changes, such as Add exhibitor, Import and Edit, no longer appear on the show's pages, and settings you can't change are greyed out. Everything stays visible, and you can still search, filter and export.
On an exhibitor's page, Send invite (or Resend invite), Manage portal access and Send message stay. Edit exhibitor, Archive profile, reviewing onboarding tasks, and the add, edit and remove buttons on the Contacts, Products, Photos and Videos tabs no longer appear. View as exhibitor still shows the exhibitor's portal, with nothing to save. Exhibitors see the show's profile in their portal but can't change it.
New booth orders, carts and ticket registrations close. The public booth registration page says Registration for this show is closed. at the top, buyers can still look at each booth but its button reads Registration closed, and the ticket page shows Registration closed instead of the tickets. Exhibitors can still pay an open balance from their payment link.
Make it editable again
Select Make editable in the banner at the top of any page of the show, then Confirm.
Shows moving from your previous platform
While your organization is moving to Map D, each show you still run on your previous platform appears here as a view-only copy that updates automatically. Its banner reads This show is still managed on your previous platform. Keep making changes there until your move date; nothing can be changed here, the show has no public pages yet, and no emails go out from it. An email that would have gone out appears on the exhibitor's Messages tab marked Not sent. On your move date, your current shows become editable and your past shows become read-only.
