Copy a show for next year
Start next year's edition from this year's show: what comes along, what is reset for new dates, and what stays behind.
The easiest way to set up next year's edition of your event is to start from this year's show. Contact Map D and say which show to copy, the new show's name and dates, and anything you would rather leave behind. The copy is a new show of its own: changing it never changes last year's show, which stays as it was.
What comes along
Everything you set up comes along unless you ask to leave it out, section by section:
- Map & Booths: your booth types and prices, with the registration types and access codes they are priced by, the floor plan and its booths.
- Exhibitors: profiles, categories, portal access, products, photos, videos, personnel, entitlements and the onboarding checklist. When the booths come along too, each exhibitor keeps the exact booths they had, and those booths show their company again.
- Schedule & Speakers: sessions and tracks, speakers and the companies they are shown with, who speaks in which session, and your Call for Papers setup with its reviewers and the sessions each one covers. See Call for Papers.
- Attendees: your attendee list.
- Sales & Registration: sponsors and sponsor levels, sellable services, ticket types, the registration form and page, ticket fees, ticket emails, and promo codes.
- Settings: show settings, your Homebase with its pavilion pages and help page, show documents, your show's own email templates and sender name and reply-to address, the mobile app's design, ads and challenges, and the reports you saved for this show.
The show's description, venue, plan and thumbnail come along as well.
Some things come along ready for new dates rather than exactly as they were:
- Promo codes lose their start and end dates and start again at zero uses. Archived codes stay behind.
- Mobile app design arrives as a draft that is not released, so it is not listed in the app until you release it. The event code attendees type in the app is not copied, because each code belongs to one show. Set a new one when you are ready. Ads lose their start and end dates.
- Registration page arrives as a draft. Publish it when the new show is ready to sell.
- Call for Papers dates are cleared and the call starts closed.
What stays with last year's show
These belong to the event that happened, so they are never copied:
- Orders, payments, invoices and refunds, and the tickets people bought.
- Check-ins, badge scans and badge prints.
- Call for Papers submissions, reviews and decisions.
- Leads, messages between attendees, live polls and Q&A, and the points attendees earned on challenges.
- Emails already sent, email drafts, and app announcements.
- Visit and ad statistics.
- Your Onsite Plan.
- Matchmaking setup and appointments.
Your payment provider details and payment methods are not copied either. Enter them on the new show before you open sales. See Set up payments.
