Ticket orders

Work the order book: filters and stats, exports, confirmations, campaigns, payments, the payment link, and cancel, delete and rollback.

Open Ticketing, then the Ticket Orders tab: every ticket purchase and booking, with what was paid and what is still owed. The bar above the list counts the filtered orders, sums the money received by payment mode, and shows their total. Category splits the list between Standard orders and Scan Attendee orders, and everything follows it: the counts, exports, printing and campaigns all see the same set you do.

Checkouts nobody finished are not orders and don't appear in the list. Their seats go back on sale about two hours after the checkout started. If a buyer later proves they paid, open the order from its confirmation link and use Change the status to paid: verify the transaction in your payment gateway first, because there is no option to roll it back.

Finding orders

  • Search matches the buyer's name (first or last name first), email, company, the order number and the affiliate id.
  • Filters opens the panel: Ticket Type, Ticket Name, Pay Type, Registration Type, Order Status and Affiliate ID each take any number of choices, and From and To bound the order date in your event's time zone.
  • Sort and Show (10, 20, 25 or 50 rows) sit next to the search box.

Tick orders to act on them. Ticking the whole page offers to select every order from all the pages; a selection like that follows your filters, so exports, confirmations and campaigns reach exactly what the list shows.

The Actions menu

  • Print makes a PDF of the selected rows, titled ORDERS.
  • Cancel Order works on exactly one selected order and runs the full cancellation, described below.
  • Delete Order removes one or more orders outright. The orders once deleted cannot be retrieved.
  • Export XLS and Export CSV download the selected orders (or everything the filters show) with the full money breakdown: totals, discount, fee, tax, amount paid, amount due, promo code, affiliate id and each payment. A very large export is built in the background instead and emailed to you, in the format you picked; Batch Exports lists those files for 7 days.
  • Send Order Confirmation resends the buyer's confirmation. One selected order lets you edit the address first; a bigger selection resends to each buyer.
  • Send Invoice emails the invoice for one selected order, using your Invoice confirmation custom template when one is selected, and the system invoice template otherwise.
  • Send Campaign sends a campaign template to each selected order's buyer, one email per address however many orders they have. Name the campaign (blank is refused) and send; results land under Email Templates in Campaigns Logs. Campaign sending stops at your show's email limit.

One order

Open an order for its summary: the buyer (with Edit to change their details), the money block, the payments, the order lines, Ticket Details and, when there are any, a read-only Cancelled Tickets table. Print in the header makes a PDF of the order with its QR code.

Changing the buyer's email when that person also holds tickets or other orders asks first: Save Only for this Ticket moves just this order to a new person record with the new details, and Save For all Ticket changes the person everywhere.

Payments

  • Receive Payment writes down money received by Cash, Check, Invoice, External Pay Gateway or Bank transfer: the amount, the date, and a check number for checks. A smaller amount than the due leaves a Not Paid remainder row and the order becomes Partially Paid; the full amount makes it Fully Paid. The same arithmetic applies to every payment mode.
  • A check or invoice payment's status can be flipped between Paid and Check Not Received; the order's status recomputes when you save. Only Paid money counts in the stats.
  • Payment Link shows the order's pay link and emails it with Send Link. The link opens a page that can only view this order's amount due and pay it by card; when it goes through, the buyer sees that the payment succeeded and the order updates by itself. Receive Now opens that same page for taking the card right away.
  • Record refund writes down money you returned. It never charges or refunds a card by itself: card refunds happen in your payment gateway, and this screen only records them.

Ticket Details

Each ticket's menu has: Edit attendee (the shared edit form), Registration Questions (their answers, read-only), Change Ticket Type (moves the registration to another ticket type; its appointments are cancelled, and the data settings and registration questions do not migrate, so cancelling and adding the registration again is usually better), Change Ticket Name (moves the registration to a different ticket that still has an available seat; the order line keeps the old price), Change status to Deleted, and Cancel ticket. Cancelling a ticket that is part of a package cancels the whole package.

Cancel, delete and rollback

Cancelling an order (or its last ticket) takes every live ticket off the books: barcodes are cleared, MatchMaking and Round Table participation is turned off, the attendee's appointments are cancelled, and each seat goes back on sale, unless someone is on the wait list for that ticket, in which case the freed seat books the oldest wait-listed ticket and that buyer gets the wait list confirmation email. A cancellation line appears on the order, payments stay untouched, and the buyer can get the Order Cancellation email; the cancel dialog has the checkbox.

Rollback on a cancelled order puts it back: the tickets re-book, the returned seats are reclaimed, the cancellation lines disappear, and the status is worked out again from the payments. If the returned seats were already sold or given to the wait list, the rollback is refused and says so.

Delete Order marks every ticket Deleted, returns the live seats, and hides the order everywhere. There is no cancellation line, no email, and no way back.
